What You Need to Know about Advance Notice Requirements for Appointment Changes

At VHC Health, we recognize the importance of our patients’ time and are committed to providing quality patient care in a timely manner. When patients contact us promptly about appointment changes, we can be respectful of the medical needs of our patients and deliver care in the most efficient and effective way.

VHC Health is now requiring advance notice of appointment changes or cancellations. Failure to notify us less than 24 or 48 business hours, depending on the service department, in advance of the scheduled appointment time, or failure to show for the scheduled appointment, may result in a missed appointment fee, which varies depending on the service being provided.

Why Do We Have These Late Cancellation and No-Show Fees?

  • To help us provide timely, efficient care while respecting the time and resources of both patients and staff.
  • To help us accommodate as many patients as possible and minimize disruptions to our schedule.
  • To protect the resources of our staff, medications and equipment, ensuring efficient use for the community’s benefit.

Unable to keep your scheduled appointment? If you need to reschedule or cancel your appointment, you must contact the medical practice or service department at least 24 or 48 business hours, depending on the service being provided, in advance of the scheduled appointment time. Otherwise, you may be charged a missed appointment fee.

Late Arrivals: If you arrive late for your scheduled appointment, every attempt will be made to accommodate you. Please be aware that you may have to wait to be seen today or we may have to reschedule to another day. If your appointment is changed to another day, a late cancellation fee may be charged, which varies depending on the service.

We typically send reminders about upcoming appointments via text message, email, and/or phone call, depending on your preferred method of communication. These reminders serve as a courtesy to help you remember your appointment and allow you to make any necessary adjustments to your schedule in advance.

At VHC Health, we understand that unforeseen circumstances may cause you to miss or need to reschedule your appointment. Please contact the service department to discuss.
